The RFA Convention 2020 will take place at the picturesque Fairmont Zimbali Resort from the 29 – 31 May. Our annual Convention provides a unique platform for sponsors to network amongst the thought leaders and decision makers within the trucking industry. Our delegates include business owners, managing directors, CEOs and senior management of road freight companies, media, government officials as well as manufacturers and suppliers to the industry.

The Conference will focus on hard hitting issues that are affecting the Trucking industry, information sharing to empower our delegates and possible solutions to alleviate some of the problems our industry faces.

As a non-profit organization, The Road Freight Association seek support from its stakeholders to create a memorable event that is focused on improving, caring and educating the industry.

Sponsorship Opportunities

Name Badge

This prime sponsorship opportunity includes your company name and logo printed on name tags. The name tags will be handed out to all delegates upon conference registration and worn for the duration of the conference.

As an added benefit for 2020, the sponsor may setup 1 pull up banner at registration.

Sponsors must provide branded lanyards (at their own cost) which will be attached to the name tag.
Branded Photos

Be part of the memories that are created at our exclusive event.

The photo sponsor will have their logos printed on all Convention Photos. A professional photographer will capture all the excitement during the Golf Day, Lunch, Dinners, Conference and networking.

Photos will be printed onsite and loaded onto our Facebook page and the event website.
Delegate Bags

One of the most popular items that guests make use of time and time again are the delegate bags. These branded keepsakes are handed out at registration. Sponsors will receive optimal brand coverage.

As an added benefit for 2020, the sponsor may place 1 pull up banner at registration.

Sponsorship excludes the cost of the delegate bag and sponsors are welcome to source a bag of their choice
Gift Insert

Gift giving ensures positive brand association. Sponsors gifts will be placed in a bag and handed out at registration. Gifts must be delivered to The RFA offices in Isando by 22 May 2020 to allow enough time for the packing process.

The sponsor will be liable to pay the sponsorship fee plus the cost of gift. Below are some gift ideas that sponsors can choose from however sponsors can choose to bring any branded items of their choice.

Banner Displays

Branding displays will be setup in designated areas around the hotel. Please refer to the floorplan to identify these areas.

Sponsors will receive a 2m x 2m floorspace, a table, 2 chairs and an opportunity to setup their branding at their stand.

Delegates will visit the stands before conference, during tea break and lunch break. This is a perfect opportunity for sponsors to engage with delegates.

We encourage sponsors to use interactive activities, new technology, competitions and other creative ideas to draw guests to their stands.

Setup will take place on Friday, 29 May from 09:00 – 13:00. The Sponsorship fee does not include access to the conference, lunch or dinners. Stand allocation is based on a first come, first serve basis.
Truck Display

Calling all truck and trailer manufacturers, it’s your time to impress the industry’s decision makers. Allow your trucks to steal the limelight as potential buyer’s network around The Truck Displays.

Sponsors can select their preferred truck position based on the floorplan below. Places will be allocated on a ‘first come first serve’ basis.

Trucks must arrive for placement at the venue on Friday, 29 May by 14:00. Trucks can depart on the afternoon of Sunday, 31 May 2020 by 13:00.

Sponsors must make suitable arrangements with the drivers for the keys and setup.

Convention DVD

Our highlights video will feature all the momentous events from the Convention. Sponsorship includes the sponsors logo which will be printed on the cover of the DVD and a 2-minute marketing clip will be included on the DVD. The video will also be available on our event website and Facebook page.
Conference Session

Take your brand to the centre stage and use this platform to speak to our delegates.

The sponsor can address delegates for 6-8 minutes after conference has been concluded.

Sponsors are encouraged to use creative methods to capture the crowd’s attention in order to make a lasting impression.
Lunch

Lunch will be served in the Hotel Restaurant. This is an excellent opportunity for your brand to be seen and remembered. The sponsor can setup branding at the restaurant, distribute promotional/marketing material and address delegates for 3 minutes before lunch break
Tea Break

The mid-morning tea break will take place around the truck display area. Sponsors can setup branding in this area and hand out marketing material to guests.

Sponsorship includes the cost for the tea/ coffee stations and tea snacks.

The wine sponsor can place branded wine tags with a special message on each wine bottle.

Sponsorship includes a bottle of red and white wine per table.
Terms & Conditions
  1. Cancellations will be accepted before 22 April 2020.
  2. Sponsors will be charged the full sponsorship amount if they cancel after the 22 April 2020. This does not apply to gift sponsorship.
  3. The following Terms are applicable to sponsors who choose to sponsor gifts:
    - Payment must be made to RFA within 7 upon receipt of an invoice.
    - Cancellations will not be accepted because orders will be placed immediately with suppliers so as to secure stock and ensure that gifts are branded and delivered on time.
  4. A sponsorship application form is to be completed & signed by an authorised signatory of the company.
  5. All sponsors will be supplied with set-up & breakdown times and are encouraged to adhere to specified time slots to avoid any confusion & misunderstandings on the specified set-up & breakdown days.
  6. All sponsorship fees must be paid to The Road Freight Association prior to the event and Proof of payment must be sent to accounts@rfa.co.za or events@rfa.co.za.
  7. Sponsors are to supply the event manager with all necessary information and plans for the Convention.
  8. All sponsors will have to comply with The Road Freight Association’s Code of Ethics. Failure to do so will result in branding and marketing material being removed.

An additional 30% premium charge will be applicable to all sponsorship opportunities should a non-member of the RFA wish to sponsor
